How we use personal information

We will only use information for purposes we have your permission to do so in accordance with this privacy policy and our terms & conditions, or where required and authorised by law. We use the personal information collected from users for the following purposes:

• Administering donations made and to claim Gift Aid where applicable
• Providing non-personalised information to fundraisers to let them know about contributions made to their campaign - this helps fundraisers keep track of donations made to their campaigns and (where the donor is happy for us to share their details) allows them to pass on a message of thanks
• Publishing information on fundraising pages to allow donors (and potential donors) to see amounts pledged to each campaign and read messages of support - individual donors always have the option to use an anonymous label against donations / messages placed on campaign pages and this is something you are recommended to adopt if you are concerned about having information about your donation published on the internet
• Understand which fundraisers have established campaigns for their benefit and communicate with fundraisers in relation to that event
• Contact individual donors to pass on a thank you message and tell them more about our organisation (but only if the individual donor allows us to do this)
• Track the total donations made through those campaigns (but not the names of individual donors unless the individual donor allows us to do this)
• Allow companies to review their employees' participation in Company fundraising activities, where you have indicated that you agree to them doing so
• Provide communication in the form of email alerts and bulletins to tell you about developments in the services available through our website, together with tips, news stories and competitions related to charitable giving - we will only do this where you have indicated you would like to receive updates and you may change your preferences or stop direct marketing from us at any time by updating your account to indicate which communications you wold like to receive from us.
• Analysis to improve the service we offer - for example you may be asked to complete one of our online user satisfaction surveys

Google Analytics

Our website uses Google Analytics, a web analytics service provided by Google, Inc. (“Google”) to help analyse visits to this website. Privacy of personal data:

We aim to protect the security of your personal data by the use of methods including storing data on secure servers which are protected by Firewalls, regularly updated password and antivirus software. Access to data is restricted to authorised personal using a unique username/password security combination which is regularly updated and recorded. We adhere to Payment Card Industry Data Security Standards (PCI DSS) and this compliance is checked and audited annually.

Handling Complaints:

If we receive a complaint, we will record details of the complaint. This would normally include the identity of the complainant and other individuals involved in the complaint. We will only use the personal information we collect to process the complaint and to monitor the level of service we provide.

We may need to disclose a complainant’s identity to the member of staff or third-party concerned - for example where it relates to the service provided by a member of staff or trainers. However, if a complainant requests to remain anonymous, we will try to respect that providing it is possible to investigate the complaint on an anonymous basis.

Any personal information relating to a complaint will be held in line with our retention policy for two years from closure. It will be retained in a secure environment and access to it will be restricted according to the ‘need to know’ principle.

We may anonymously use information obtained as part of the complaint process to improve performance where appropriate. Complaints about use, storage and retention of data by Lepra can also be made to the Information Commissioners Office.
